The Talent Funnel platform is operated by UC Leuven-Limburg (UCLL) as part of the E³UDRES² European University Alliance. UCLL is the controller for the personal data described in this policy.

This policy covers the website talentfunnel.eu and the registration forms hosted on it.

E³UDRES² runs several platforms. The alliance website eudres.eu and the E³UDRES² Arena each publish their own privacy information under their own responsible institution. If you register for an activity somewhere other than the Talent Funnel, the privacy policy of that platform applies to that registration.

When you visit the website, our hosting provider records standard technical data so the site can run securely and errors can be traced. This includes your IP address, the date and time of the request, the page you opened, your browser type and version, your device and operating system, and the page you came from.

We process this on the basis of our legitimate interest in keeping the website available and secure (Article 6(1)(f) GDPR). These records are kept for a limited period and are not used to identify you or build a profile of you.

Registration forms on the Talent Funnel are used to sign up for E³UDRES² activities such as hackathons, bootcamps, micro-internships, courses and other Talent Funnel tracks and pathways.

What we collect

• Your first and last name
• Your email address
• Your home institution and, where relevant, your study programme and year
• Your country of study or residence
• Practical details needed to run the activity, such as dietary requirements, accessibility needs or travel dates
• Any additional questions specific to the activity, which are shown on the form itself

Fields that are not required are marked as optional. You can leave them empty and still register.

Why we collect it

To process your registration, to organise and run the activity, to communicate practical information to you before and during the activity, and to give the organising institution the participant list it needs.

Legal basis

Your consent, which you give by ticking the consent box on the registration form (Article 6(1)(a) GDPR). You can withdraw your consent at any time. Withdrawing consent does not affect processing that already took place, but it may mean we can no longer include you in the activity.

We use the following service providers to run the platform and process registrations. Each acts on our instructions under a data processing agreement.

• Tally hosts the registration forms and receives your answers when you submit a form.
• Notion holds the registration database where submitted registrations are stored and managed.
• Combell hosts the talentfunnel.eu website itself.

Your registration is shared with the E³UDRES² institution that organises the activity you signed up for, and with the E³UDRES² contact person at your own institution. They use it to confirm your place, to prepare the activity and to follow up with you afterwards.

Personal data collected through the Talent Funnel may be shared within the E³UDRES² consortium for the purpose of organising and reporting on alliance activities. The participating institutions are listed in the next section, each with its own data protection contact.

We do not sell your data and we do not share it with anyone for advertising purposes.

The E³UDRES² consortium consists of the following institutions. You can contact any of them directly about data protection.

Photos, video and audio are often recorded at E³UDRES² Talent Funnel activities. These recordings may be used on E³UDRES² Talent Funnel and partner institution websites, in print materials, on social media, in project reporting and for internal purposes.

We ask for your consent for this separately when you register (Article 6(1)(a) GDPR). Ticking that box is optional and you can take part in the activity without it. You can withdraw your consent at any time by emailing lieve.tack@ucll.be, and you can also tell a member of staff on site if you do not want to be recorded.

E³UDRES² is co-funded by the European Union. The alliance has to report on who takes part in its activities. This means your name and details such as your institution, study background and country may appear in project reports and deliverables. These are shared with the European Education and Culture Executive Agency and some are published on E³UDRES² websites.

Wherever reporting allows it, participation is reported in aggregate numbers rather than by name.

The Talent Funnel is an imprint of E³UDRES².

Registration data is kept for the duration of the E³UDRES² 2.0 project.

Technical website records are kept only for as long as needed to keep the site secure and are then deleted or anonymised.

If you ask us to delete your data earlier, we will do so unless we are required to keep it for project reporting or audit purposes. We will tell you if that is the case.

You have the following rights regarding your personal data.

• Access. Ask what data we hold about you and get a copy of it.
• Rectification. Have inaccurate or incomplete data corrected.
• Erasure. Ask us to delete your data.
• Restriction. Ask us to limit how we use your data.
• Portability. Receive your data in a machine-readable format, or have it sent to another organisation.
• Objection. Object to processing based on our legitimate interest.
• Withdrawal of consent. Withdraw consent you have given, at any time, without giving a reason.

To use any of these rights, email lieve.tack@ucll.be. We answer within one month.

If you are not satisfied with how we handle your request, you can lodge a complaint with the Belgian Data Protection Authority, Gegevensbeschermingsautoriteit, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be. You can also complain to the supervisory authority in the country where you live or work.

We update this policy when the platform or the way we handle data changes. The version number and date at the top of the page show when it was last changed. If a change affects you directly, for example a new recipient of your registration data, we will inform registered participants by email.
